So you're ready to finally consider implementing Electronic Document Management. Congratulations! How are you going to do it?
This is the first of many questions that you are going to need to answer in the near future. Davis Business Machines gets this question from a lot of organizations, and after having been in this business for more than a couple of years, we have some suggestions. - Understand that Electronic Document Management is a business initiative, not a technology initiative. There has to be a clear business reason to move forward. Commonly we focus on cost reductions, business process improvements, mitigating risk (legal or natural disaster), and enhancing your company’s ability to deliver a higher level of customer service.
- Find the area that is hurting the most and focus on that department. Companies will very often want to address every ill. EDM is applicable in all areas of business; however it’s always a good idea to walk before you run. If your focus is Accounts Payable, get the system nailed down and running smoothly, then tackle Accounts Receivable or Human Resources.
- Make sure that everyone understands the goals and the process for achievement. These projects must be driven by management with support from the stakeholders. Have a clear kick off meeting with roles and responsibilities defined. It’s a very good point to schedule progress meeting at this time as well.
- Realize that no matter how much time you put into the planning stages, there are going to be unforeseen issues that come up. Sometimes these issues are minor, sometimes they are not. However, if you are working with a good partner, you’ll work through it, and have a stronger business relationship.
- Know that you are saving money in the long run. And the long run can come pretty quickly. Electronic Document Management is designed to give you better access to your information, secure audit trails, and allows for faster resolution of business issues. You save time, and time is money.
